			<content:encoded><![CDATA[<p><a href="http://www.dl2media.com/wp-content/uploads/2010/02/backup.jpg"><img class="alignleft size-full wp-image-384" title="backup" src="http://www.dl2media.com/wp-content/uploads/2010/02/backup.jpg" alt="backup" width="480" height="336" /></a>A recent study by technology company, <a href="http://www.cmswire.com/">CMSWire</a>, found that many companies in the United States get email archives and backups mixed up.  As unbelievable as it sounds, the confusion is still rife, even years after the legislation came into force, and organizations are being caught out all the time.</p>
<p><a href="http://www.computerworld.com/s/article/103645/Archive_and_backup_What_s_the_difference_">For those who still don’t know the difference</a>, a backup is when a copy is taken of a given media and stored elsewhere.  This is to provide disaster recovery should any disaster befall the building, the company or its infrastructure.  Every business should have a comprehensive backup process that is followed to the letter, but it is different to archiving.</p>
<p>An archive is designed to copy, store and manage data for the longer term.  It is designed to be a permanently separate, accessible silo where the data can be safely kept.  Ideally it would be sited somewhere other than the premises, in a purpose built facility where it is protected from all forms of harm such as flood and fire.</p>
<p>In the case of an <a href="http://www.smarsh.com/">email archive</a>, for compliance, the email data is siphoned off the corporate email platform and formatted into a particular state.  It is then indexed, compressed and then stored safely somewhere else.  That storage should be secure, safe and resilient, so the client can access their data should the need arise.</p>
<p>A backup can run in conjunction with an archive, but are completely separate entities.  They should not be confused.  The only driver for a backup procedure is disaster recovery and damage limitation.  Archiving is necessary to satisfy a range of legal obligations that are enforced aggressively, as well as the retention of important information.</p>
<p>It isn’t only for <a href="http://en.wikipedia.org/wiki/Electronic_discovery">E-discovery</a> that archiving is a good idea.  Business depends a lot of email using it as the main means of communication both internal and external.  Often corporate communications, policy changes and even external contracts are communicated this way, and they are important for any business to retain for a period of time.</p>
<p>On paper it is an easy mistake to make.  Both processes make copies of stuff for retrieval later but only one will protect an organization from litigation if an E-discovery request comes their way.</p>
<p>While emails can be retrieved from a backup, it is a time-consuming and laborious task.  With no real indexing facility, finding emails may take a significant amount of time, especially in larger, communication heavy organizations.</p>
<p>An email archive makes it easier to follow email trails and the branches that can occur when mail is copied and forwarded to multiple recipients.  A thorough implementation should also comply with the relevant legislation and prevent any action being taken against the company for non-compliance.</p>
<p>Let’s set the record straight once and for all.  A backup policy is good methodology, but entirely optional.  <a href="http://www.archivecompliance.com/">Email archiving</a> is not.  It is mandatory and specified in more than a few laws.  Ever since those very high profile corporate scandal cases, every business has had to comply with a set of stringent compliance laws that demands an effective trail be left with any documentation of any kind.</p>

<p>For years we have been preaching the virtues of long, complex passwords.  Putting dictionary attacks aside for a moment, one of the most interesting revelations of this project was the high cost of brute forcing simple passwords.</p>
<p>By simple here we mean a password only containing lowercase letters a through z.  And by optimistic cost to brute force we mean the EC2 usage charges we would incur to cover 50% of the keyspace.  If we&#8217;re unlucky, we double the optimistic cost to calculate our &#8220;max cost&#8221; to exhaust the keyspace.</p>

<p>Clearly each additional character of password length adds a significant amount of cost to the brute forcing effort.  One might speculate that an average corporate adversary could quite easily come up with ~$50K USD to brute an 11 character simple password, but struggle to find the $1.5M USD to brute a 12 character simple password.</p>
<p>Next let&#8217;s look at the case of a slightly more complex password, containing upper and lowercase a-z, plus the numerals 0-9:</p>

<p>In this case the hypothetical threshold between doable and not worth it falls at the 11 character password boundary.<br />

Finally let&#8217;s examine the cost to crack a truly complex password, consisting of upper and lowercase a-z, plus the numerals 0-9, the space character, as well as 32 special characters (think !@#$%):<br />

<p>In this case the &#8220;not worth it&#8221; threshold is at 9 character passwords.</p>
<p>So, looking at this data simultaneously, it&#8217;s easy to make some recommendations about password length.  Assuming we are dealing with an adversary who is unwilling to spend more than $1M USD to brute your password, where are the length versus complexity sweet spots?<br />

<p>Referring to the chart above, we decide that simple passwords (a-z) are OK, provided they are at least 12 characters long.  Add numbers to your simple password, and again you&#8217;re OK at 12 characters.  Introduce uppercase and special characters into the mix and 10 character passwords are acceptable.</p>
<p>Now let&#8217;s consider a slightly difference scenario.  Let&#8217;s look at an 8 character password of variable complexity.  The complexity will start at 26  and rise to 95 [a-zA-z0-9@#$ etc.].</p>

<p>Here we see that the cost to crack the 8 character password increases steadily with complexity, and that even fiercely complex 8 character passwords are still fair game for our adversary with &lt;$1M to spend on a brute force attack.</p>
<p>Now let&#8217;s look at fixing the complexity at a low value of just  and looking at the effect of increasing the length of the password on the cost to brute force.</p>

<p>Here we see that the cost to crack the simple password consisting of a variable number of just lowercase alpha characters jumps dramatically between 13 and 14 characters.</p>
<p>Remember, dictionary attacks are different than brute force attacks.  So if your 12 character simple password is composed of dictionary words, all bets are off.  Finally, remember that while a determined attacker may not have $10M USD to spend on EC2 cycles to crack your 10 character super complex password, a simple <a href="http://www.coresecurity.com/content/client-side-exploits">client side exploit</a> may make that a moot point.</p>

<p>I find I would rather have my own <a href="http://www.smarsh.com/prinsite/nr/default2.asp?siteid=12&amp;webpageid=184">email archive</a>.  I do it already and it makes me more comfortable to be in charge of my emails.  If I am having another take charge of my email archiving, how am I to know that they will not use what I have said or others have said to me against me?  I just think in terms of dealing with the archive, I would prefer to have it accessible to me as I see fit.  It is my private property; it is my thoughts and responses to my thoughts.  It is mine.</p>
<p>Some might argue that creating an email archive on my own is tantamount to setting me up for a loss.  <a href="http://www.pcmech.com/article/hard-drive-failure-warnings-and-solutions/">Hard drives do fail</a>.  Programs change and connections can be lost or degraded.  I am willing to take this kind of risk seeing that ultimately these are my own risks.  I feel that relying on another to be able access, protect or even find something I need puts me at a disadvantage.</p>
<p>Still, many would prefer not to have to deal with the whole idea of keeping any kind of an archive let alone an entire mailing archive.  They find the programs confusing or darn right too hard to deal with.  They are afraid of doing the wrong thing, pushing the wrong button or losing where the archive is being stored.  Some times they lose the program that they use to create the email hosting setup and all they have is something that is not able to be opened. That presents a quandary that is just a frustration.  Most people are frustrated enough without having another program create a frustration for them.</p>
<p>Even with these negatives, taking the time to learn to do my own technical archiving makes me in control of my correspondence.  I prefer to have the control that doing my own archive presents to me.  I do not have to worry about someone else looking through my old emails and reading my private correspondence.  I can take pride in learning a new skill.  I have the satisfaction of finding what I want when I want it.  I do not have to be at the mercy of some outside company and that company’s handlers as to when I have access to my own private correspondence.  I definitely do not find it a negative to be in control of my own emails.</p>
<p>My significant reason to control and create my own email setup is security.  I am not egotistical in the sense that I have great or damning information in my emails that I need to be in total control of my business.  Nor do I feel that I have such great prose in my emails that someone would be looking to <a href="http://www.copyscape.com/">plagiarize</a> what I or my correspondences have written to one another.  Nor do I feel that I have any particular hidden jewels or treasures in my email archive.  What I do feel is since all of this was sent to me or me to others, it is mine and I have the freedom to keep what is mine unless there is any compelling reason to let another or anyone have access, even the original authors of the original emails (not that I would stop them from seeing some writing of theirs I have in my possession).</p>
